When a coach makes sense for your company

One vehicle avoids parking problems, scattered cars and delays, and lets colleagues arrive rested and together. It works especially well for:

• Team building and company outings, with the whole group on the same vehicle.
• Trade fairs and conferences, where parking and traffic are a problem.
• Shuttles between sites or from the station to the plant.
• Company dinners and events, so nobody has to drive home.
• Visits to factories of clients and suppliers.

Choosing the vehicle by number of participants

Count realistically who is coming, including guests and companions, and leave a small margin: numbers often change at the last minute. A minibus or midibus may be enough for small groups, a full-size coach for larger ones, and several vehicles beyond a certain size. Also mention luggage (trade fair material, stands, samples), as it affects the choice.

Comfort: ask the company whether the vehicle has air conditioning, power sockets, a microphone for announcements and presentations and, if you want it, wifi. It is not always available: ask and have it confirmed in the quote.

Times, pick-up points and several coaches

Set the departure time, return time and pick-up point, and allow time for boarding, getting off and unexpected delays. If employees leave from different places, list every stop in the programme.

With several coaches, assign each one a coordinator and a passenger list, use a single contact point with the companies and give every driver the times and route. A detailed programme (stops, times, exact addresses, breaks, any waiting) shared with the driver avoids mistakes and dead time.

Invoice, documents and safety

For companies the administrative details matter:

• state in the quote request that you need an invoice and provide your tax details (company name, VAT number, registered office, recipient code or certified email);
• check that the quote shows whether VAT, tolls and parking are included or not;
• ask for confirmation of the licence for coach hire with driver and of the vehicle's insurance.

On safety, remember the general EU rule: a maximum of 4.5 hours of continuous driving, followed by a break of at least 45 minutes. Allow for it in your timetable, especially on long single-day routes.

When to request the quote

During trade fair periods, conference seasons or end-of-year company events, available coaches run out quickly: request your quote well in advance, even several weeks ahead. Fill in the free request stating the departure city, destination, date, times, number of people and notes on invoicing and comfort: companies in your city receive it and reply directly.
